Role Overview


The Buying Assistant & Master Data Specialist plays a critical role in supporting the buying and planning functions of the business. This role is responsible for maintaining accurate master data, supporting demand planning, acting as the key point of contact for store queries, and building strong supplier relationships. The successful candidate will be highly proficient in Excel, an effective communicator, and comfortable working across multiple teams.


Key Responsibilities


Buying & Supplier Support
• Support Buyers in day-to-day purchasing activities, including order creation, amendments, and tracking.
• Build and maintain strong, professional relationships with suppliers to ensure smooth communication and issue resolution.
• Liaise with suppliers regarding pricing, product information, availability, lead times, and delivery schedules.
• Assist with negotiations and preparation of buying reports and presentations.


Master Data Management
• Create, maintain, and update accurate product, supplier, and pricing master data within internal systems.
• Ensure data integrity across systems to support buying, planning, and store operations.
• Manage new line setups, product changes, discontinuations, and data audits.
• Identify and resolve data discrepancies efficiently.

Demand Planning
• Support demand planning activities by analysing sales trends, forecasts, and historical data.
• Assist in forecasting and replenishment planning to ensure optimal stock levels.
• Work closely with Buyers, Supply Chain, and Stores to align demand forecasts with business needs.
• Use Excel-based tools and reports to monitor performance, identify risks, and highlight opportunities.

Store Support & Communication
• Act as the go-to person for store queries related to products, pricing, availability, and data issues.
• Provide clear, timely, and accurate responses to store teams.
• Proactively communicate updates, changes, and key information to relevant stakeholders.


Reporting & Analysis
• Produce regular and ad-hoc reports using Excel to support buying and planning decisions.
• Analyse data to identify trends, inefficiencies, and improvement opportunities.
• Present insights in a clear and structured manner to both technical and non-technical audiences.


Skills & Experience
• Advanced proficiency in Microsoft Excel (e.g. pivot tables, VLOOKUP/XLOOKUP, formulas, data analysis).
• Strong communication skills with the ability to build effective relationships internally and externally.
• Previous experience in buying, merchandising, supply chain, demand planning, or master data management (preferred).
• Strong attention to detail with a high level of accuracy.
• Ability to manage multiple priorities in a fast-paced environment.
• Problem-solving mindset with a proactive and collaborative approach.
